JOB PURPOSEWe are looking for a highly organized and proactive HR Assistant to support the day-to-day operations of the HR Department. The role covers employee records, contracts, attendance and leave administration, onboarding and offboarding logistics, and general administrative support, ensuring HR processes run accurately, on time, and in line with company policy and Libyan labour law.
KEY RESPONSIBILITIES
• Administration & Employee RecordsMaintain complete, up-to-date employee personnel files (physical and digital) and ensure all required documents are collected, verified, and archived.
• Prepare employment contracts, renewals, amendments, and related HR documents for the HR Manager's review and signature.
• Enter and update employee data in the HR system (new hires, transfers, promotions, salary changes, terminations) and ensure data accuracy.
• Issue employment letters, salary certificates, experience letters, and other official HR correspondence.
• Track probation periods, contract expiry dates, and document renewals, and flag upcoming deadlines to the HR Manager.
• Prepare periodic HR reports (headcount, turnover, attendance, contract status) as requested.
• Support other HR functions such as prepare offboarding documentation and coordinate clearance and handover procedures for leaving employees.
• Monitor daily attendance records; track absences, lateness, and leave balances, and report irregularities.
• Receive, log, and route leave requests, sick notes, and permission requests for approval.
• Compile monthly attendance, absence, and deduction data required by the Payroll Specialist to support the payroll cycle.
• Act as the first point of contact for employee inquiries on HR procedures, forms, and policies, escalating where needed.
• Log employee complaints and disciplinary cases in the tracking system and maintain the related documentation.
• Assist in preparing investigation minutes, warning letters, and disciplinary correspondence under the HR Manager's direction.
• Ensure HR records and procedures comply with company policies and Libyan Labour Law No. 12 of 2010.
• Manage emails and administrative correspondence; schedule meetings and maintain calendars.
• Prepare reports, presentations, and official documents.
• Organize and maintain physical and digital filing systems and administrative databases.
• Coordinate with internal departments and follow up on administrative requests.
• Monitor office supplies and support meetings, events, training sessions, and other HR activities.
• GeneralHandle all employee information with strict confidentiality.
• Perform any other duties assigned by the HR Manager within the scope of the role REQUIREMENTS
• Bachelor's degree or Diploma in Business Administration, Human Resources, or a related field.
• 1–3 years of experience in an HR or administrative role.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); experience with an HR system (HRIS) is an advantage.
• Basic knowledge of Libyan Labour Law No. 12 of 2010 and HR procedures is an advantage.
• Excellent organizational and communication skills in Arabic; good English communication skills are an advantage.
• Strong attention to detail, ability to multitask, and to work to deadlines.
• Professional attitude and ability to maintain confidentiality.
