The Automotive Warranty Administrator is responsible for processing, submitting, and managing all warranty claims for manufacturer and extended warranty contracts. This role ensures maximum claim recovery, adherence to manufacturer policies and procedures, and maintaining accurate service documentation for audit purposes. The warranty administrator acts as the key liaison between the dealership, the service team, and the manufacturer's warranty department.

Key Responsibilities Claim Submission & Management
  • Claim Processing: Review and interpret repair orders (ROs) to determine eligibility for warranty coverage, ensuring all required labor operations, parts, and sublet repair codes are accurately documented.
  • Submission: Prepare, code, and electronically submit all warranty claims to the manufacturer or warranty provider promptly and efficiently, adhering strictly to submission deadlines.
  • Tracking & Reconciliation: Monitor the status of all claims (submitted, pending, rejected) and reconcile weekly and monthly warranty schedules against payments received, identifying and resolving any discrepancies.
Documentation & Compliance
  • Policy Adherence: Maintain expert-level knowledge of current manufacturer warranty guidelines, bulletins, and policy changes to ensure 100% compliance with all contractual terms.
  • Audit Preparation: Maintain meticulous records, including copies of repair orders, part return tags, technician notes, and claim history, to successfully pass manufacturer warranty audits.
  • Causal Part Management: Oversee the organization and tagging of all parts designated for return to the manufacturer or for inspection, managing the physical inventory process according to warranty guidelines.
Communication & Training
  • Dispute Resolution: Investigate and appeal all rejected or disputed claims, providing detailed justification, photographic evidence, and technical documentation to secure payment.
  • Service Team Liaison: Communicate policy changes and proper warranty claim procedures to Service Advisors and Technicians, coaching them on accurate clocking procedures and necessary documentation requirements on the repair order.
  • Reporting: Generate regular reports on claim performance, including rejection rates, payment turnaround time, and total warranty dollars recovered.
Qualifications Required Education & Experience
  • High school diploma or equivalent; an associate's degree in business administration or automotive technology is a plus.
  • 2 years of experience as a warranty administrator within a franchised automotive dealership is mandatory.
  • Experience working with a major Dealership Management System (DMS) such as CDK, Reynolds & Reynolds, or Dealertrack.
Required Skills & Competencies
  • Warranty Policy Expertise: In-depth, verifiable knowledge of manufacturer warranty submission and coding processes.
  • Attention to Detail: Exceptional organizational skills and an intense focus on detail required for accurate coding and documentation.
  • Financial Acumen: Strong understanding of service department accounting and the financial impact of claim status (work-in-progress, accounts receivable).
  • Communication: Clear and professional written and verbal communication skills for liaising with manufacturer representatives and internal service staff.
  • System Proficiency: High proficiency in Microsoft Office Suite (especially Excel) and specialized automotive software.
